Strategic Planning for Successful Proximity Events
Understanding your audience and objective is the essential first step, but there is much more that goes into creating successful proximity events. Document what you aim to achieve—training, alignment, team building, customer satisfaction, or other objectives. Define how you will measure success, and how you will gather the data you need to support those metrics. Most importantly, know your audience. Tailoring content and formats to the needs and preferences of attendees in different locations will be the biggest single success factor. Here are additional tips:
Use Interactive platform technology to connect attendees across locations, enabling real-time interaction. Invest in robust, reliable technical infrastructure to ensure seamless experiences. At a recent event, we used Bitfire to capture camera and GFX sources from each site and send them to Cramer, while also feeding the produced broadcast back to each site.
Design for Engagement
Purposeful networking means creating structured opportunities for attendees to connect on meaningful topics. Participants will collaborate to produce memorable results with just a modicum of organization to point towards the goal. Be sure to incorporate workshops, Q&A panels, and interactive sessions to maintain interest.
- Ensure Consistent Messaging and Experience
Develop standardized content and materials to be used across all proximity events. The entire organization should experience the same core messages, regardless of time or location. Consistency does not mean rigidity, however. Allow flexibility for local adaptation to regional specifics while maintaining the primary themes and purposes. For instance, using references to local sports teams, regional arts and culture, or geographical features can give corporate events a beneficial home-grown feel.
- Practice, Practice, Practice
Every aspect of your event must be thoroughly rehearsed, from content to logistics to communication. The satisfaction you gain from achieving your objectives may be enough, but hearing grateful participants express how much they appreciated your work is priceless. Flawless execution that comes from preparation is how to achieve that.
